Legal & Terms.

Everything the studio is required to tell you as a UK seller of photographic prints and framed editions, and how to reach us if anything needs sorting out.

How an order actually works.

Pricing and payment

All prices are shown in pounds sterling and are the final price payable, delivery is calculated separately and always shown before you pay. Payment is taken in full at the point of order through the checkout provider.

How your piece is made

Prints and frames are produced to order by a specialist print and framing partner and shipped directly to you. For most orders you will be sent a digital proof to approve before production begins, this is your chance to check size, mount and moulding before anything is made.

Cancelling a standard order

If your piece is a standard print or framing option chosen from the studio’s existing range, you have the right to cancel for any reason within 14 days of delivery, under the Consumer Contracts Regulations 2013. To cancel, email studio@ralph-vitolo.com with your order number. A full refund is issued within 14 days of the item being returned, in its original condition. Unless the item is faulty, return postage is your responsibility.

Bespoke and personalised pieces

Where a piece is made to your own specification, for example a custom crop, a size cut specifically for your space, or your own image, it is exempt from the cancellation right above under regulation 28 of the same Regulations. Any listing sold on this basis states clearly that it is bespoke before you order.

Faulty, damaged or not as described

Your rights here are separate from the above and apply regardless of whether a piece is standard or bespoke. Under the Consumer Rights Act 2015, if an item arrives faulty, damaged in transit, or not as described, email studio@ralph-vitolo.com with photos and your order number, and you will be offered a repair, replacement or refund.

Delivery

Delivery costs and estimated timing are shown at checkout before you pay. Risk in the goods stays with the studio until the piece is delivered to you.

03 / Limited Editions

Numbered, signed, accounted for.

Limited edition prints are individually numbered as part of a fixed run, for example 12 of 50, signed, and accompanied by a certificate of authenticity. The edition number is assigned by the studio to manage the run and track provenance, it is not a personal specification chosen by you, so a numbered print is treated as a standard item for cancellation purposes and the terms above apply in full.

For prints shipped to California, New York or Illinois, the certificate of authenticity includes the additional disclosures required under those states’ fine print laws, covering edition size, medium and production details.

04 / Privacy Policy

What happens to your information.

Ralph Vitolo, trading as Ralph Vitolo Photography, is the controller of any personal data collected through this site. We collect the details you give us when you place an order, contact the studio, or sign up for updates, along with basic site usage data covered in the Cookies section below.

This information is used to fulfil your order, respond to your enquiries, and, only if you have opted in, send occasional updates. It is shared only where necessary, with our print and framing partner to produce and ship your order, and with our payment provider to process payment, never sold to anyone else.

Data is kept only for as long as needed for these purposes or as required by law, for example accounting records.

You have the right to access, correct, delete or restrict the personal data we hold about you, and to object to how it is used. To exercise any of these rights, email studio@ralph-vitolo.com. You also have the right to complain directly to the Information Commissioner’s Office at ico.org.uk at any time.

05 / Cookies

The short version.

Essential cookies keep the site and checkout working and do not require consent. We also use first party analytics cookies to understand how the site is used, which are exempt from consent requirements following the update to UK cookie rules in February 2026.

We do not currently use any marketing or advertising cookies. If that ever changes, you will be asked for consent before any non essential cookie is set.

06 / Complaints

If something needs sorting out.

Email studio@ralph-vitolo.com with your order number and a description of the issue, photos help if something has arrived damaged. Every complaint is acknowledged within 30 days, investigated properly, and you will be told the outcome directly.

If a data protection complaint is not resolved to your satisfaction, you can escalate it to the ICO at ico.org.uk. For consumer complaints more generally, Citizens Advice and Trading Standards are also available to help.
